Office Clerk Job Description:

Position Title: Office Clerk
Reports To: Administrative Director (AD)
Hours: To be established between (8:00 AM to 5:00 PM weekdays)
Status: Non-Exempt, Part time 20 hours a week
Location: Albuquerque, New Mexico USA

 

General Statement of Duties:

    • Provides quality customer service to all in contact with CNVC, and fulfills administrative support with overflow work to various departments. Duties included but not limited to greeting visitors, answering the telephone, and directing callers/visitors to their destinations. Filing, record keeping, data entry and performing a variety of other office tasks.

 

  • Typical Physical and Mental Proficiencies:
    • Have ability to proficiently operate multi line telephone system, computer software and other office equipment, i.g. copier, fax, scanner. Have the ability to communicate effectively with customers, team members, vendors, auditors, leadership team and others as necessary. Will travel within the Metro area to run errands as needed. Able to perform tasks requiring stooping, bending, and lifting up to 25 pounds. Able to type 45 wpm or greater with accuracy.
  • Typical Working Conditions:
    • Reports to Administrative Director. Must be service-oriented, a team player, flexible, and able to handle multiple priorities. Person filling position works closely with other departments updating customer records. Required ability to work independently and meet deadlines. Demonstrates successful ability to respond to frequent interruptions and work with a variety of people in a professional, courteous manner. Participate as team member in cross training and assume responsibilities of other staff as needed.

 

  • Essential Job Duties and Responsibilities:

Customer Service:

      • Answers incoming calls, route to appropriate department
      • Manage the multi line phone and voicemail system
      • Serves as a direct point of contact for customers, researches and provides information in response to inquiries about products or services.
      • Provides assistance to help customer decide what types of products or services would best suit their needs.
      • Aids customers in completing purchases or transactions for services or bookstore orders
      • Communicates with customers through a variety of means – either in person, by telephone, e-mail, postal mail correspondence, fax and/or internet.
      • Make changes or updates to a customer’s profile or account information.
      • Keeps records of transactions, updates and maintains databases of information. Ability to distill and organize information, requires above average listening skills

Accounts Receivable:

  • Process payments for all services and products; for example: bookstore orders, International Intensive Trainings (IIT’s), certification fees, supporting Memberships, continuing Education Units (CEU’s), board Meeting and NVC workshop invoices
  • Process monthly AR report
  • AR Correspondence (create and distribute)
  • Information tracking of wire transfers
  • Accounts Receivable contact person
  • Filing

 

Donations:

  • Process donations received in the form of cash, checks, money orders, PayPal and wire transfers
  • Process monthly pledge donations
  • Donations Correspondence (create and distribute)
  • Compile donor information for annual report
  • Public contact person for donations

Maintenance of office:

  • Overseeing office security, distributes keys
  • Overseeing document retention system
  • Administering QuickBooks and mail-list accuracy in conjunction with IT Leader (includes merging duplicates in QB, runs reports as needed, etc.)
  • Sending out notices when CNVC will be closed for holidays, other special occasions, or emergencies

Operational Support

  • All other duties assigned by Administrative Director as needed

Job Skills:

  • Excellent written and verbal communication skills
  • Multi-line telephone equipment operations
  • Internet knowledge

Qualifications/Performance Requirements; Knowledge, Skills and Abilities

  • Office equipment: Operating skills in use of general office equipment such as facsimile, multi line telephone systems, copier, etc. is required.
  • Computer skills: Must have working knowledge of general office operating software, i.e. word processing, database, and spreadsheet applications as well as e-mail and the Internet. Office currently using: Microsoft office: Word, Excel, Access and Quick Books
  • Interpersonal skills: Ability to respond to walk-in and telephone contacts and demonstrate excellent interpersonal skills to respond to a wide variety of people in a friendly, professional, and confidential manner.
  • Organization: Ability to organize work, problem solve, have multiple priorities and meet deadlines.
  • Attention to detail: Ability to attend to detail and complete work assignments in an accurate manner.
  • Productivity: Ability to work at a high rate of productivity and complete work in an accurate, timely and cooperative manner.

Education, Experience and Credentials:

  • Position requires a High School Diploma or equivalent and three years related work experience.
